Remember backup to Office 365 - it's not standard

With Office 365 you get all the smart features of the popular applications in Microsoft's well-known Office suite, which these days is called Office 365. Most of it takes place in the cloud, which provides easy access to files, preferences and vital data, but that doesn't mean Microsoft has a backup or backup ready for you in case of an emergency - not necessarily, anyway.

In fact, there's a difference between something being in the cloud and having an actual backup of something.

Our backup for Office 365 is available for just DKK25 per month per user

Fair enough, there is the option to restore some things to Office 365, but it's not an actual backup. It's the concept of retention, which can be somewhat simplistically called a delay in when something gets deleted. For example, it would be relatively easy to fish an email out of Outlook's Recycle Bin because the retention feature means that it won't be permanently deleted until a later date.

This feature is often fine for things like emails, but if we're talking large data sets, important presentations or essential SharePoint files, it might not be so easy. Here you need a real backup that you can use to restore the files or folders you've lost for one reason or another.

Why you need a backup for Office 365

There can be a number of reasons why data goes missing. Fortunately, the digital threat landscape isn't at a level where you need to worry about opening Outlook or doing a Google search, but the fact remains that there are threats to your essential files - both digital and analog.

In fact, one of the biggest threats to your digital assets is us humans. In fact, one of the things we most often hear about when an Office 365 backup is needed is human error. It's human to make mistakes, and when we work as much with computers as we do, it does happen from time to time that an employee presses the wrong button or moves the wrong folder to the Recycle Bin.

If it's the entire customer file or the basic presentation with all the master data, graphics, USPs, mission and vision and everything else about the company that suddenly disappears from the cloud, good advice is expensive. That is, unless you have a backup for your Office 365.

In addition to human error, you can also be unlucky or careless enough to run into various forms of malware that can put your Office 365 files in the cloud out of commission.

In recent years, various waves of ransomware that encrypt your files have also been in the news. You then get a message that you can pay a fee to unlock the encryption and regain access to your files. Other types of malware delete or corrupt the files so that they are either completely gone or useless to you.

With Office 365 backup, it's very simple to get over this type of attack - you simply restore the files from before they were encrypted, corrupted or deleted, and you're up and running again. Of course, once you've closed the security hole that allowed the malware to do the damage.

Get peace of mind with a backup

As a business owner, there's plenty to think about, and while it's nice to have a backup and the ability to fish out data and files if the worst happens, it's almost something softer that's nicer.

You can have a lot more peace of mind knowing you have a backup. It's a bit like insurance, which you never hope to need, but which is nice to have, and just the knowledge that you're not at risk if something goes wrong can be well worth the price.

An often undervalued aspect is also new employees, who may not be as used to navigating the company file structure, who can work with a little more peace of mind. They don't have to be as afraid of making a mistake when you have a backup for your Office 365, because it's possible to correct just that kind of mistake in a simple and quick way.

This is particularly relevant for smaller businesses that don't have the large IT department to troubleshoot various technical issues, or that have their own dedicated servers for backups, for example. Here, outsourcing the backup task to an external partner like Hosting.gl is an obvious and cost-effective solution.
